Importing orders

  • Updated

Use Import to create sales orders without adding products one by one. You can import from an Excel or CSV file, a TRAEDE linesheet, or a PDF or photo of a purchase order. You can also type the lines in yourself.

Opening the import window

  1. Go to Sales → Orders.
  2. Click Import. The Quick add order window opens.

Choosing an import type

Import type Use it when
Simple excel import A customer sends a list of item codes and quantities. One file becomes one order for the customer you pick.
Multiple orders excel import You have one file with orders for several customers. The file says which customer and order each row belongs to.
Linesheet excel A customer has filled in quantities on an Excel order sheet that TRAEDE generated, for example from the webshop cart.
Manually enter lines You have a short list of item codes and want to type them in.
Document capture A customer sends a purchase order as a PDF or a photo. AI reads it, and you check the result before the order is created.

Settings that apply to every import

Field Description Required
Customer Who the order is for. The invoice and delivery addresses default to the customer's primary and delivery addresses, and you can change them. Multiple orders excel import reads the customer from the file. Linesheet excel can read it from the sheet. For Simple excel, Manual and Document capture
Create orders as Approved order (default), Selection or Draft. Yes
Drop The drop the order belongs to. Only if your brand uses drops
File The file to import. For every type except Manual

Entering lines manually

Choose Manually enter lines, pick the customer, and fill in one row per product.

Field Description Required
SKU or EAN The item code. Upper and lower case don't matter. Yes
Quantity Number of pieces. Yes
Discount percentage Discount off the customer's normal price. No
Unit price after discount A fixed price per piece. Both 12.50 and 12,50 work. No

A new empty row appears automatically, so you can keep adding lines. Click the X to remove a row.
If you enter the same product twice with the same price and discount, the lines are merged.

What happens when you click Create order

How the orders are created depends on how many lines you import in total.

  • 100 lines or fewer: the order is created straight away and you see "The order was created!". Any errors appear as pop-up messages.
  • More than 100 lines: the orders are created in the background. You see "You will receive an email to notify you when orders have been created!". When they're done, you get an email titled "Your orders are ready" with the order numbers. If the import fails, you get an email titled "You quick order import failed" listing the errors.

Important: Imports are all or nothing. If one order in the batch fails, none of the orders are created. Fix the errors and import the whole file again.

Imported orders behave like any other order:

  • Approved orders go through the normal approval checks, such as stock, minimum quantities and credit limit. The customer gets an order confirmation if your email settings send one.
  • Selection orders send the selection email instead.
