Upload a customer's purchase order as a PDF or photo, and Document capture creates the order for you. AI reads the document, finds the customer and products, and shows you the result to check before anything is saved.
Creating the order
- Go to Sales → Orders and click Import.
- Select Document capture.
- Choose how to Create orders as, and pick a Drop if your brand uses drops.
- Upload one PDF, PNG or JPEG file.
- Check the customer, addresses and lines on the review screen.
- Fix or remove any lines that couldn't be matched.
- Click Create order.
Checking the result
The review screen shows what the AI found. You can change the customer, addresses, SKU, quantity, price and discount on every line.
Each line has a status badge and a match confidence. If the wrong size or colour was picked, use Pick variant… to choose the right one. Remove lines you don't want.
You can't save the order while a line is unmatched. Pick the right product for it, or remove it.
How customers are matched
TRAEDE tries these, in order, and stops at the first match:
- Customer number
- VAT or organisation number
- Contact email
- Company name
- Phone
How products are matched
- SKU or EAN
- The start of a SKU
- A product with only one variant
- The product description on the document, if your brand has turned this on
Add these details by hand
The order gets the customer, addresses, drop, status, and lines. These details are not copied from the document:
- the customer's PO number
- notes
- delivery date
- shipping cost
- the original file
Open the order after it's created and add them yourself.
File limits
- PDF, PNG or JPEG, one file at a time.
- Files above 50 MB are rejected.
