A linesheet is a product catalogue you share with customers as a PDF or Excel file. You can make it a Linesheet (a catalogue to browse) or an Order sheet (a form with quantity boxes the customer fills in).
Creating a linesheet
- Go to Sales → Linesheets.
- Click New linesheet.
- Enter a Linesheet name. To reuse saved settings, also pick a template.
- Click Create new linesheet.
- Adjust the settings described below.
- Click Save.
Linesheets are split into two tabs, Active and Inactive.
Linesheet or order sheet
Pick the type first, because it decides which settings you see.
| Type | Use it when |
|---|---|
| Linesheet | You want a visual catalogue with images and a layout you control. |
| Order sheet | You want the customer to fill in quantities and send it back as an order. |
Note: You can only change the type when no template is attached to the linesheet.
Choosing products
- Fixed: you pick the products yourself.
- Auto: products are added automatically based on the filters you set.
Select one or more Drops to limit the linesheet to the products and variants shown on those drops.
Use Sort by to order products by name or item number. For a custom order, or to hide specific products, colours or variants, click Sort manually. Anything you hide is listed under Hidden products.
If a product you expect is missing, see Why is a product missing from my linesheet?
Prices
- Choose All currencies or Specific currencies. You can also pick the currencies of your price lists.
- Tick the prices to show: WHS, RRP and Markup.
- Markup is RRP divided by WHS.
- If a product has an offer price, the offer price is shown as WHS.
Layout
These settings apply to the Linesheet type.
| Setting | What it does |
|---|---|
| Products per page | 1, 2, 4, 8 or 12 products on each page. |
| Logo | Shows your logo on the linesheet. |
| Smaller font | Fits more text on each page. |
| Image quality | Higher quality gives sharper images and a larger file. |
| Image crop / canvas | Crop images to fill the frame, or fit the whole image on a canvas. |
| Product data | Choose what to show: item number, collection, description, attributes and barcode. |
| Custom fields | Adds your own product fields to the linesheet. |
| Font and colours | Matches the linesheet to your brand. |
To group products under headings, see Dividing products into sections in Linesheets.
Order sheet options
| Setting | What it does |
|---|---|
| Hide out of stock | Leaves out variants with no available stock at your default inventory location. |
| Show inventory | Shows stock levels on the sheet. |
| Stoplight | Shows stock as Few, Low or In stock instead of exact numbers. |
| Low threshold / Medium threshold | The stock levels where the stoplight changes. |
Versions for customers, price lists and currencies
Under Documents, add extra versions of the same linesheet for a specific customer, price list or currency. You pick the version when you export.
Templates
Save your settings as a template to reuse them on other linesheets.
- Changing a template changes every linesheet that uses it.
- You can't delete a template that is in use.
Deactivating a linesheet
Untick Active and click Save. The linesheet moves to the Inactive tab, and anyone opening its link sees Linesheet is deactivated.
