Creating a manual invoice

A manual invoice is one you create from scratch, not tied to any order or shipment. Use it for anything you need to bill that didn't come through the normal order flow.

Important: The customer must have a customer number on their profile, or TRAEDE won't let you create the invoice.

Creating the invoice

  1. Go to Sales → Invoices.
  2. Click the Create dropdown in the top right, then Manual invoice. (You need invoice edit rights to see this button. Don't confuse it with Import — that's the separate Excel/bulk import.)
  3. In the Create manual invoice pop-up, choose the Customer.
  4. Click Create invoice.

TRAEDE immediately creates a real invoice in Open (draft) status and opens it. Currency, VAT %, payment terms, bank account, addresses, agent, and handling fee are all filled in automatically from the customer's setup — you can still change most of them from here.

Editing the invoice details

There's no single Save button on this page. Each section has its own pencil icon, and edits save as soon as you make them.

  1. Click the pencil icon next to the field you want to change.
  2. Update the value.
  3. Click the checkmark
  4. The change saves immediately.

You can edit the date, shipping cost, handling fee, payment terms, reminder charge and interest rate text, and the invoice note (plus any brand-specific custom fields) this way. VAT %, currency, and totals are shown but calculated automatically — you don't type them in directly.

Invoice and delivery addresses are changed via a dropdown inDstead of the pencil icon, and also save immediately.


Adding products

  1. Click Add products (or open the Products tab) and search the catalogue.
  2. Click each product you want to add, then go Back to overview.
  3. In the product table, type the Quantity for each size or variant.
  4. Adjust the Unit price if needed — it auto-fills from the customer's price list but can be overwritten. You can also add a per-line text note and a line discount.
  5. Once you've changed quantities, a bar appears at the bottom of the page — click Save now to save the lines.

Note: Every line on the invoice must be an actual product. There's no product-free "text only" line.

Booking the invoice

The invoice stays Open and editable until you book it — there's no option to book immediately while creating it manually.

  1. Click Book invoice on the right.
  2. Choose Do not send email or Send email.
  3. Click Book!

Booking assigns the invoice number, locks the date, and deducts stock. You need a payment term and a date set before you can book.

Good to know

Field Notes
Date This is the only date field, and it doubles as the bookkeeping/accounting date. Defaults to today.
Bank account & currency Set automatically from the customer or brand — not editable here.
Agent Starts off inherited from the customer, but unlike order-based invoices, you can change it later on a manual invoice.
