Working with sales order dates

Important: This article covers sales order dates v2. Contact support@traede.com to have it enabled for your account.

Every order has two kinds of dates you enter yourself: the date the customer asked for (Requested delivery) and the date you promise (Expected dispatch). TRAEDE works out the rest, shows the right dates on your order confirmation, and tells you when a confirmation you sent is out of date.

For how TRAEDE calculates delivery dates and delivery status colours, see How allocation and delivery dates work.

The dates on an order

Open an order to see all its dates. The header dates are in the order summary on the right. The line dates are columns in the product table. If you don't see the line columns, turn them on under Quick toggle above the product table.

Delivery status: when the goods reach the customer (green)

The delivery status row under each line shows when the pieces are expected to be delivered to the customer. Once a line has shipped, it shows the actual delivery date instead. Hover the information icon next to the date to see how it was calculated.

You can also show the expected delivery for each line as a column: turn on Expected delivery under Quick toggle. This column is read-only, because TRAEDE calculates it from your expected dispatch plus transit time.

Requested delivery: what the customer asked for (red)

Enter the customer's wishes in Requested delivery. TRAEDE plans the order to arrive on this date.

For the whole order (order summary)

Set Requested delivery in the order summary to apply it to the whole order.

For a single line (red column in the product table)

Set Req. delivery on a line when the customer wants that product on a different date. The line date replaces the order date for that line only.

Expected dispatch: what you promise (purple)

Enter your promise to the customer in Expected dispatch: the date the order leaves your warehouse. Leave it empty to use the dispatch date TRAEDE calculates.

  • Set Expected dispatch in the order summary to promise a date for the whole order.
  • Set Exp. dispatch on a line to give that line its own date. The line date replaces the order's promise for that line only.

When some lines have their own dispatch date, the order summary shows how many, for example 2 lines have overrides. Click it to see the lines and their dates.

Promise status tells the customer how firm your promise is. It only changes the wording on the order and the confirmation. It does not change how dates are calculated.

Promise status Meaning Label shown
Expected Your best estimate. The date may still move. Expected dispatch
Scheduled A firmer date, but still not a guarantee. Scheduled dispatch

If you clear the expected dispatch date, the promise status goes back to Expected.

Tick Warehouse pickup when the customer collects the order from your warehouse. The dates then refer to pickup instead of delivery: Requested pickup and Expected pickup, and the expected delivery column is hidden. New orders take this setting from the customer's Fulfillment settings, or from the country settings if the customer has none.

Original dates

The first time you change Requested delivery or Expected dispatch in the order summary, TRAEDE keeps the previous date and shows it below the field as Original:. The original date never changes after that, so you can always see what was first agreed, however many times the date has moved since.

Estimated warehouse ready: when the order can be packed (yellow)

Estimated warehouse ready is the date the last piece on the order is expected to be received, put away and ready to pick in your warehouse. Use it to see when the whole order can be packed.

  • Click the date to see which products are ready now and which are waiting for incoming goods.
  • If some lines aren't covered by stock or incoming goods yet, you'll see a warning such as Covers 8 of 10 lines. The date only reflects the covered lines.
  • If nothing is allocated yet, you'll see No stock allocated yet.

Showing dates on the order confirmation

Set up your order confirmation to group products by the week they are expected to arrive and to highlight dates that have changed since the customer last received it.

  1. Go to Settings → Documents.
  2. Open the order confirmation document you send to customers.
  3. In Group lines by, select Expected delivery.
  4. In Period, select Week.
  5. In Product table rows, add Date change.
  6. Save the document.

Settings / Documents for the Order document, with Group lines by set to Expected delivery, Period set to Week, and Date change added under Product table rows

Setting Options
Group lines by None, Drop delivery, Expected delivery (when the goods reach the customer) or Expected dispatch (when the goods leave your warehouse)
Period Week or Month. Only shown when you group by expected delivery or expected dispatch.

What the customer sees

The confirmation now shows one section per week, for example Expected delivery: Week 43, 2026, with the products expected that week. When a product's date has moved since the last confirmation, the Date change row shows New date in red, with the previous date underneath, for example (was week 41).

Order confirmation grouped under Expected delivery: Week 43, 2026, with the Date change row showing New date in red and (was Week 41, 2026) underneath

Tip: Customers who collect their goods see Expected pickup instead of Expected dispatch on the confirmation.

Keeping order confirmations up to date

When you send an order confirmation, TRAEDE remembers the date the customer was given for each line. If a date changes later, for example because a delivery from a supplier is delayed or you change a promise, the confirmation becomes outdated. Find these orders in the order list and send them again.

The date TRAEDE watches depends on the delivery terms. For orders the customer collects (for example EXW or FCA, or warehouse pickup) it is the expected dispatch or pickup date. For orders you deliver it is the expected delivery date. Changing the delivery terms from one kind to the other also makes the confirmation outdated. Cancelled and fully shipped lines are ignored.

Confirmation status

The envelope icon on each order in the order list shows its confirmation status. Hover it to see when and how the confirmation was last sent.

Order list with the tooltip on an envelope icon reading Confirmation outdated — needs resend, with when it was last sent and opened

Status Icon What it means
Confirmation never sent Grey No confirmation has been sent to the customer.
Confirmation queued (sending…) Amber The confirmation is being sent.
Confirmation up to date Green The customer's confirmation matches the current dates.
Confirmation opened Green The confirmation is up to date and the customer has opened the email.
Confirmation outdated — needs resend Amber One or more dates have changed since the confirmation was sent.
Confirmation failed Red The last send failed. Hover the icon to see why.

The status works the same whether you send confirmations by email, EDI or a connected system. Sending the confirmation again sets it back to up to date.

Re-sending outdated confirmations

  1. Go to the order list.
  2. Add the Send status filter and select Outdated.
  3. Select the orders you want to update.
  4. From the bulk actions, select Send confirmation.
  5. Review the orders in Send order confirmations and send.

Order list filtered by Send status is Outdated, with orders selected and Send confirmation highlighted in the Action menu

To re-send a single order, open it and click Resend order confirmation.
