The Inventory change report is an Excel export of stock movements in a period, such as deliveries in, invoices out, credit notes, manual adjustments, moves and value changes. Use it to see why stock went up or down, and what those movements were worth.
It replaces the old Export inventory changes option.
Open the report
- Go to Inventory → Inventory list.
- Click Actions in the top right.
- Select Inventory change report.
Choose your options
Period
Set a Start date and End date. The dates filter on the date the stock moved (the stock date).
Note: If you leave both dates empty, the report only covers today.
What to include
| Option | What it does | Default |
|---|---|---|
| Include increases in inventory | Includes movements that add stock. | On |
| Include decreases in inventory | Includes movements that remove stock. | On |
| Only changes of type | Limits the report to the types you pick. Leave empty for all types. | Empty |
You can pick one or more of these types:
- Invoices
- Credit notes
- Production order delivery notes
- Manual regulation
- Move
- Value adjustment
- Value update
Tip: In the file, credit notes show with Change type invoice. To see only credit notes, pick Credit notes here.
How rows are grouped
| Option | What it does | Default |
|---|---|---|
| Row per variant | Off: one row per product. On: one row per SKU, and adds the SKU, EAN and attribute columns (such as color and size). | Off |
| Row per date | Splits rows by stock date and book date. | On |
| Row per batch | Splits rows by batch. Only shown if you use batch control. | On |
| Row per change (includes change text) | One row for each individual movement, and adds a Text column. Switches on the three options above and locks them. | Off |
| Filter batches | Limits the report to specific batches. Put each batch name on its own line. Only shown if you use batch control. | Empty |
Filters from the inventory list
Filters you've set on the Inventory list also apply to the report, such as Item number, Collection or Category.
These list settings do not apply:
- The In stock tab
- The Status (active/inactive) filter
- The list's Location and Date selectors
The report always covers all locations and includes inactive products.
Download the report
Click Export inventory changes. What happens next depends on how many movements the report contains:
- Fewer than 500 movements: the Excel file downloads immediately.
- 500 or more movements: you'll see "The export will be emailed to you soon!". The file is sent to the email address on your user account, with the subject Inventory changes export. You can follow progress in the background jobs list.
The file is named inventorychanges.xlsx, and the sheet inside is named InventoryChanges.
Columns in the file
Every report has these columns: Location, User, Customer/supplier, Customer/supplier number, Product name, Item number, Collection, Change type, Changes (pieces in or out), Unit cost and Total cost.
Extra columns appear depending on your options:
| Columns | Shown when |
|---|---|
| Date, Book date | Row per date is on |
| SKU, EAN number, attribute columns | Row per variant is on |
| Text | Row per change is on |
| Batch | You use batch control and Row per batch is on |
The last row, Totals:, adds up Changes and Total cost.
Good to know
- Grouped rows show the first movement. When rows are grouped (the default), Location, User, Change type and Customer/supplier come from the first movement in the group. Turn on Row per change if you need exact details for each movement.
- Cost is the inventory cost of the movement. It is not the sales price or the wholesale price.
- Unit cost is Total cost divided by Changes. It shows 0 for pure value adjustments, which have no change in pieces.
- Virtual locations show the pieces but have a cost of 0.
- Customer/supplier is only filled in for invoices, credit notes and production deliveries.
- Dates are calendar days in UTC, not Danish time. A movement made between midnight and 01:00 (winter) or 02:00 (summer) Danish time counts on the previous day.
- The report is Excel only. There is no CSV option.
