How to create or update a document footer

  • Updated

Introduction

This guide explains how to create, edit, and manage document footers in TRAEDE. You decide which footer is printed with rules, for example per country, customer group, order type, or individual customer. This lets you tailor the information on invoices, order confirmations, and other documents.

Open the document settings

  1. Go to Settings.
  2. Click Documents.
  3. Select the document type where you want to add or update a footer, for example Invoice.
  4. Scroll to the bottom of the page preview. The footer controls are below the preview.

Create a new footer

  1. Click New footer.
  2. Enter a Name for the footer.
  3. Click Save
  4. In the text box, replace the words Footer content with your footer text, for example "Thank you for your business."
  5. Click Save footer.

A footer is not printed until a rule uses it. See Assign the footer with rules below.

Update an existing footer

Change the footer text or name

  1. Open the dropdown (it says Select...) and choose the footer. Footers are listed A–Z, and only footers for this document type are shown.
  2. Make your changes:

    Field What it does
Name The internal name, shown in dropdowns.
Label The heading printed on the document, if you want it to differ from the name.
Hide footer label when printed Tick this to leave the heading off the document.
Text box The footer text itself.
  3. Click Save footer. You will see "Footer saved."

Note: Save footer saves the name, label, tick box, and text only. It does not save rules.

Placeholders

You can type placeholders such as {{ invoice.invoice_number }} in the footer text. Values are filled in when the document is created. The editor doesn't offer a list of placeholders or a filled-in preview. See Available footer data variables for the full list.

Assign the footer with rules

Rules decide which footer is printed on each document. Each rule is a dashed box below the footer text.

  1. Click Add new rule. A new rule appears at the bottom of the page.
  2. Choose the conditions for when the footer should be used. You can combine:
    • Factoring
    • Paid by credit card
    • Customer
    • Customer group
    • Order type (for example B2B or B2C)
    • Region
    • Country
    • Currency
  3. Choose the footer in the Show footer dropdown.
  4. Click Save at the top of the page. You will see "The documents were updated."

Edit or remove a rule

  • To change a rule, edit the fields in its box, then click Save at the top of the page.
  • To remove a rule, click the red trash icon on the right of the box, then click Save at the top of the page. There is no confirmation.

Tip: Order type can't be cleared once you pick it. To remove it, delete the rule and add a new one.

Which footer is used

  • The rule that matches the most conditions wins.
  • If two rules match equally, the one higher on the page wins.
  • A rule with no conditions is the fallback for everything else.
  • If nothing matches and there is no fallback rule, no footer is printed.

For example, you can have one footer for a specific key account, one for all Australian customers, one for B2C orders, and a fallback rule with no conditions for everyone else.

Delete a footer

  1. Select the footer in the dropdown.
  2. Click the red Delete footer button.
  3. Confirm with Delete. You will see "Footer deleted."

Important: You can delete a footer that a rule still uses. That rule then prints no footer until you choose another footer and click Save at the top of the page.

The Delete button at the top of the page deletes the whole document layout, not a footer.

What happens to existing documents

  • New documents use the updated footer and rules.
  • PDFs and emails that were already created or sent are not rewritten.
  • If you change only the wording of a footer, an existing invoice may show the new wording on screen. Its PDF stays unchanged until it is regenerated.
