Updating an order with an order sheet

  • Updated

Export an order to Excel, change the quantities, and upload the file to update the order in one go. Use this for large orders where editing line by line is slow. Only quantities are read from the file.

Exporting the order

  1. Open the order.
  2. Click Export to Order Sheet (Excel).

The file is emailed to you with the subject Your order sheet export for … is ready. Anyone who can view the order can export it.

Filling in the sheet

The file has three tabs:

Tab Use
Products Change the numbers in the Quantity row. This is the only place to edit.
Product data Reference only, such as images and prices.
Meta Hidden data TRAEDE needs to read the file. Never change it.

Important: Save the file as .xlsx, not CSV. Don't insert or delete rows. Only upload the sheet to the order it was exported from.

Updating the order

  1. Open the order.
  2. Click More Actions → Update with Order Sheet.
  3. Select the file.
  4. Click Update.

The order updates right away and you see The order was updated. No email is sent to you or the customer.

You need permission to edit order lines. The option is available on any order that isn't cancelled or archived.

What the update changes

  • A changed quantity on an existing line updates that line.
  • A quantity above 0 for a size that isn't on the order adds a new line at the customer's current price.
  • Prices, discounts, totals, comments, addresses and dates in the sheet are ignored.
  • Changed and added lines are logged in the order timeline under your name. Draft orders don't get timeline entries.

Shipped and invoiced lines

You can increase quantities on shipped or invoiced lines. You can't go below what has already been shipped, invoiced, or taken out of stock. If one line breaks this rule, the whole update is rejected and nothing changes.
