When a Shopify order comes into TRAEDE, the line quantity is the pieces that were sold. That is pieces already fulfilled in Shopify, plus pieces still waiting to be fulfilled. It is not Shopify’s current quantity. Current quantity also drops pieces that were cancelled before they shipped.
Turn this on
This way of counting is not on for every brand yet. Contact TRAEDE support and ask them to turn on Shopify line quantities v2. You cannot turn it on yourself.
Important: The Shopify shop needs its webhooks connected. Edits, fulfillments, and refunds have to keep arriving, or the order in TRAEDE drifts away from Shopify. The shipment edits later in this article are already on for every brand.
How the line quantity is counted
TRAEDE builds each line from two numbers.
- Fulfilled: pieces on a successful Shopify fulfillment.
- Open: pieces still on a fulfillment order that is open, in progress, scheduled, or on hold.
The Traede quantity is fulfilled plus open. Pieces returned after they were fulfilled stay on the line. TRAEDE credits them. A closed or cancelled fulfillment order is not counted as open.
If the brand auto-ships B2C orders, TRAEDE ships the open pieces after the quantity is set. The quantity itself is decided first.
Cancelled, returned, and refunded pieces
A piece cancelled before it shipped is removed. Nothing is credited. A piece returned after it shipped stays on the line and is credited.
| What happened in Shopify | What TRAEDE does |
|---|---|
| Nothing is fulfilled yet | The line gets the full quantity. No shipment and no invoice until auto-ship ships it. An edit that does not change the order leaves the line as it is. |
| Some pieces are cancelled before fulfillment | The line is reduced by those pieces. Nothing is credited. An edit does the same to the pieces that are still open. |
| An order edit removes pieces that were not fulfilled | The line keeps the remaining pieces, or the line is removed if nothing is left. Nothing is credited. |
| Unfulfilled pieces are refunded with Do not restock | Those pieces are removed. Nothing is credited. |
| An edit removes pieces on a paid order, then refunds only the money | The pieces are removed. No credit note is made. An edit reduces the open quantity. |
| Pieces are returned after fulfillment, and Shopify restocks them | The line is invoiced, then credited. The credit note is dated on the refund. Stock is restocked. An edit does not reduce the line. |
| Pieces are refunded after fulfillment with Do not restock | The line is invoiced, then credited as a claim. Stock is not restocked. An edit does not reduce the line. |
| The refund includes shipping | The credit note credits the refunded shipping, excluding VAT. |
| Shipping is refunded before anything is invoiced | The credit waits for a booked invoice. It then credits the shipping. It does not fail. |
| The order is cancelled after part of it was fulfilled | The fulfilled pieces are imported, shipped, and invoiced, then credited from the cancellation refund. Pieces that were never fulfilled are not imported. |
Fulfillments, holds, locations, and pickup
Pieces already fulfilled in Shopify become completed shipments in TRAEDE. TRAEDE does not fulfill those pieces in Shopify again. The shipment is dated on the Shopify fulfillment. Invoicing follows the normal delivery note.
| What happened in Shopify | What TRAEDE does |
|---|---|
| The order is fully fulfilled before import | One completed shipment per fulfillment. Each shipment is invoiced and dated on that fulfillment. |
| The order is only partly fulfilled | The fulfilled pieces are recorded as shipped. Auto-ship ships the pieces that are still open. |
| Part is fulfilled and the rest is on hold | The fulfillment is recorded. The held pieces stay open. They are not shipped. |
| The order is fulfilled from two locations | Two shipments. Each one uses the TRAEDE location mapped to that Shopify location. |
| A fulfillment is cancelled | That fulfillment is not recorded. The pieces are open again. |
| A fulfillment order is closed because the goods moved | The closed fulfillment order is not counted as open. The location comes from the fulfillment order that is still open. On an edit, a line that is already shipped keeps its location. |
| The fulfillment order is on hold | The line keeps the full quantity at that location. Nothing is shipped. The order is on hold. An edit does not reduce the line. |
| A pickup order is partly fulfilled | The fulfilled pieces and the open pieces stay on one pickup line. |
| The same fulfillment or refund is sent again after import | TRAEDE does not create a second shipment or a second credit note. |
Gift cards, digital products, tips, and skip fulfillment
These lines are not picked like a normal product. What TRAEDE does depends on the product and on Auto fulfil gift cards in the Shopify app.
| Line | What TRAEDE does |
|---|---|
| Gift card already fulfilled in Shopify | Recorded as a completed shipment. TRAEDE does not fulfill it in Shopify again. |
| Gift card not yet fulfilled, and Auto fulfil gift cards is on | Auto-ship fulfills it straight away, including in Shopify. |
| Gift card not yet fulfilled, and Auto fulfil gift cards is off | It ships with the physical lines. It is not completed on its own. |
| A tip | Auto-ship ships and invoices it. TRAEDE never fulfills it in Shopify. |
| A digital product that does not require shipping, and is not a gift card | Auto-ship fulfills and invoices it straight away, including in Shopify. This does not depend on Auto fulfil gift cards. |
| A product with Skip fulfillment in TRAEDE | Auto-ship completes and invoices it straight away, separate from the physical lines. |
Orders that are not imported, and refunds that arrive early
Some Shopify orders never become a TRAEDE order. A refund can still be credited.
| What happened | What TRAEDE does |
|---|---|
| The order is cancelled before anything was fulfilled | The order is not imported. No refund is queued from that cancellation. A later refund is credited with no TRAEDE order. |
| A refund arrives before its order | TRAEDE waits up to an hour for the order. It does not credit the refund on its own during that hour. |
| A refund is for an order that was never imported, for example an order older than the integration | After an hour, the refund is credited with no TRAEDE order. |
| A POS order is fulfilled from a location that is imported as a web order | The new quantity rules are not used. The full quantity is invoiced as before. |
Order edits and shipments
This section is already on for every brand. It does not depend on support turning on the quantity rules.
When Shopify removes pieces from an order that is already in TRAEDE, TRAEDE reduces the pieces that are still open. Pieces that were returned after fulfillment stay on the line.
If those pieces already sit on a shipment, TRAEDE checks the shipment before it changes the line.
- Not picked, not claimed, not booked, and not sent to a 3PL: the pieces come off the shipment. The shipment line goes down with the order line. If nothing is left, the shipment is cancelled. Nothing is credited. The timeline shows Order: Shipment line reduced in Shopify or Order: Shipment cancelled in Shopify.
- Claimed, picked, booked, or already at the 3PL: the line and the shipment stay. Nothing is credited. The timeline shows Order: Line reduction blocked (already shipped).
Auto-ship puts pieces on a shipment as soon as the order is created. Without this release, the line looks fully shipped and the edit cannot reduce it.
Order line edits still write the existing timeline events, such as Order: Line removed in Shopify.
