Managing user roles

A role is a named set of permissions that you assign to your users. Permissions are never set on the individual user — they are always set on a role, and the user inherits them. Every user must have at least one role.

Where to find

Go to Settings → User roles. The page itself is titled Users / Roles.

The page has three parts: the list of your roles on the left, the Permissions of the selected role in the middle, and the Users who have that role on the right.

How permissions are structured

Permissions sit at two levels. A module is a whole area of TRAEDE — Order Management, Inventory Management, Reports and so on — and is switched on or off with the ON / OFF toggle. Inside each module sit the individual permissions that decide what the role may actually do there.

  • Click (n) Sub Modules on a module to expand it. The number is how many permissions are currently enabled in that module, not how many exist.
  • Expand all sub modules and Collapse all sub modules open and close every module at once.
  • The individual permissions are greyed out while the module toggle is OFF. Switch the module on first, then tick the permissions you want.

Most permissions are named after what they let the role do:

Wording What it allows
Browse … / Read … See the area and open the records in it.
Make changes to … / Create … Create, edit and update records in that area.

Some modules and permissions show their internal name instead of a readable one — for example bom_templates, stock_count:read or segmentation:write. Read these the same way: the part before the colon is the area, and read or write tells you whether it grants viewing or editing.

Tip: Give a role its read permissions before its change permissions. A role that can make changes but cannot see the area will not be able to reach the records in the first place.

Creating a role

  1. Click Add new below the role list.
  2. Click the new role, New Role 1, to select it.
  3. Replace the name in the field at the top of the page.
  4. Switch on the modules the role needs.
  5. Expand each module and tick the individual permissions.
  6. Tick the users who should have the role in the Users column.
  7. Click Save in the top right corner.

Important: A new role starts with every module off, so it grants no access at all until you enable something. Nothing is created until you click Save — if you leave the page first, the new role is discarded.

Editing a role

Click the role in the list, change the toggles and permissions, and click Save. The change applies to every user who has that role.

The Administrator role

Administrator is marked with a padlock and is locked. You cannot rename it, delete it, or change its permissions — it always has full access. You can still add and remove users on it.

Assigning users to a role

You can do this from either side.

From the role

  1. Select the role.
  2. Tick the users in the Users column. Use Select all and Deselect all to handle the whole list at once.
  3. Click Save.

From the user

  1. Go to Settings → Users.
  2. Click Edit on the user.
  3. In the Access section, add or remove roles in the Roles field.
  4. Click Save.

Note: A user can hold more than one role. When they do, the permissions are combined — if any one of their roles grants a permission, the user has it. Removing access therefore means removing it from every role the user holds.

Moving users between roles

Use this when you want to reassign a group of users in one go, for example after creating a replacement role.

  1. Select the role the users currently have.
  2. Tick the users you want to move, or click Select all.
  3. Click Move users.
  4. In the Select role window, pick the role to move them to.
  5. Click Move users!.

The users are taken off the role you started from and given the role you picked. Click No, cancel. if you opened the window by mistake.

Deleting a role

Select the role and click Delete role, then click Save.

Important: Every user needs at least one role. Move the users to another role before you delete theirs.
