02 Using Nordea Factoring

Once Nordea Factoring is installed and configured, sending is fully automatic. TRAEDE runs the Nordea push once a day (12:00 PM) in the background; there is no manual Send now button.

Prerequisite: Nordea Factoring must be installed, with app settings, client numbers, and factoring customers configured. See Setting up Nordea Factoring in the Related articles below.

How invoices are sent

On each run, TRAEDE picks up every invoice and credit note where:

  • Status is Booked.
  • The order is B2B.
  • The customer resolves to factoring.
  • The booking date is on or after Send invoices since.
  • It hasn't already been included in a Nordea factoring batch.

For each one, TRAEDE:

  1. Picks the matching client number rule (by currency, country, and internal company).
  2. Calculates the NOK øre amount. NOK documents use their own total; documents in another currency are converted to NOK using the exchange rates stored on the document.
  3. Bundles everything into three files: KUNDE.NFK (the customer record file), FAKTURA.NFF (the invoice and credit note line file), and FAKTURAJOURNAL.pdf (a human-readable journal of the batch).
  4. Emails the three files to the Factoring email.
  5. Tags every included invoice and credit note with a factoring batch number and a synced timestamp so they aren't sent again.

If the email fails, nothing is marked as sent and the same documents are retried on the next run.

When sending fails

Each invoice or credit note that can't be sent gets a Nordea Factoring invoice not synced alert. The alert auto-clears once the document successfully ends up in a batch. The most common causes:

  • No matching client number rule for the invoice's currency and country. Add a rule under Client numbers.
  • Missing NOK exchange rate on a non-NOK invoice or credit note. Make sure the document has exchange rates that include NOK.
  • Send invoices to Nordea Factoring is off in app settings.
  • Factoring email or Send invoices since is empty.
  • The customer is not marked as factoring.
