Once Emma Systems is installed and Send documents is enabled, TRAEDE automatically pushes customs declaration XML files to Emma over SFTP whenever a shipment is fulfilled or a production order delivery note is received. No manual actions are required.

Shipment delivery notes
Whenever a shipment is fulfilled, TRAEDE automatically sends the shipment delivery note to Emma. You don't need to do anything.
- Only shipments allocated to the inventory locations configured in the Emma app are sent.
- Empty shipments (nothing packed) and shipments on other inventory locations are silently skipped.

You can view the sync status inside the shipment profile.
Production order delivery notes
Whenever a production order delivery note is received in TRAEDE, TRAEDE automatically sends the delivery note to Emma. You don't need to do anything.
- Only delivery notes allocated to the inventory locations configured in the Emma app are sent.
- Empty delivery notes (nothing received) and delivery notes on other inventory locations are silently skipped.

You can view the sync status inside the production order delivery note.
Understanding sync statuses
The sync status appears as a coloured banner labelled Customs integration on the shipment or delivery note.
| Message | Meaning |
|---|---|
| Has not been synced yet (yellow) | No push has happened. Either the shipment or delivery note isn't eligible for Emma (see the reasons below), or the sync hasn't fired yet. |
| Queued for sync (blue) | The XML file has been generated and is waiting to be sent to Emma. Typically clears within a few minutes. |
| Synced (green) | The XML file has been delivered to Emma's SFTP. Emma will process it on their side. |
| Sync failed (red) | Something prevented TRAEDE from generating or delivering the file. The specific reason is shown next to the label. Common causes are listed below. |
Note: When a shipment or delivery note is deliberately skipped by TRAEDE (for example because it's on the wrong inventory location), no banner is shown at all.
Why Emma doesn't sync some shipments
If a shipment or delivery note has no Customs integration banner or stays on Has not been synced yet, one of these is usually the reason:
- Send documents is disabled. The integration master switch is off in the Emma app settings.
- Wrong inventory location. The shipment or delivery note is allocated to an inventory location that isn't listed in the Emma app settings.
- Empty content. The shipment has no packed lines, or the production order delivery note has no received quantity.
Why a sync fails
When you see Sync failed, the banner shows the specific reason. The most common ones are:
- Missing HS tariff code on a product. One or more products has no value in the HS Tariff code custom field.
- Missing country of origin on a product. One or more products has no value in the Country of origin custom field, or the value is not exactly two characters.
- Missing incoterms. The production order delivery note has no incoterms set.
- Missing supplier country. The supplier's primary address has no country set (production order delivery notes only).
- Emma settings incomplete. One of the required app settings (e.g. Presentation office, Static arrival ID) is empty.
- SFTP failure. Emma's server rejected the connection or is unreachable. Usually a temporary problem or an expired password.
Note: The Emma app does not have a manual re-push button. If a shipment or delivery note is stuck on Sync failed after you have fixed the underlying data, contact TRAEDE support to re-trigger it.
