Creating a new email

Introduction

This article explains how to create a custom email that is sent based on a specific trigger in TRAEDE. The example used here is sending a commercial invoice to a warehouse whenever a shipment is fulfilled and the order is going outside the EU.

Step 1: Add a new custom email

  1. Go to Email settings

  2. Click Add custom

  3. Choose the trigger:
    Shipment is fulfilled with freight

  4. Give the email a name, e.g.:
    Commercial invoice for warehouse

Step 2: Set rules for when the email should send

Rules define when this custom email will be sent.

⚠️ These are technical and should only be used if you’re confident. If not, contact TRAEDE Support for help.

Example rule:

  • [{"not":false,"filters":[{"key":"region","value":["europe","abroad"],"operator":"in"}]}]

This rule ensures the email is only sent when the order is shipping outside the EU.


Step 3: Set up subject line and recipient

  1. Subject line
    Use a variable such as:

    Shipment invoice - {{ shipment.shipment_number }}

    This will automatically insert the shipment number into the email subject.

  2. Recipient
    Add a specific email address. Example:

    warehouse@warehouse.com

     


Step 4: Add attachments

You can attach documents to the email, such as:

  • Commercial invoice

  • (Optional) Use Attachment filters to include specific documents based on shipment details.

In this case, since the email is only sent for shipments outside the EU, the commercial invoice should always be attached.


Step 5: Activate the email

Don’t forget to activate the email after setting it up:

  1. Toggle the Active switch

  2. Click Save

Now, this email will send automatically to your warehouse when a shipment is fulfilled and is going out of the EU.

 


✅ You’ve now successfully set up a custom email for commercial invoices based on shipment region.
