How is inventory synchronised?

Introduction

This article explains how TRAEDE synchronizes inventory with System Transport, including how inbound deliveries, outbound shipments, stock corrections, and nightly full syncs update your stock levels.

How inventory synchronization works

Inventory between System Transport and TRAEDE is kept up to date through several different file types exchanged during the day, plus a full nightly synchronization. Below is an overview of how each file affects inventory.

1. Good Receipt File (Inbound – Production Order Response)

When System Transport receives goods for a Production Order, they send TRAEDE a Good Receipt file.

What happens in TRAEDE:

  • The delivered quantities are added to your inventory

  • TRAEDE updates the PO delivery status

  • Stock increases by the number of pieces received

This ensures that your inbound deliveries immediately affect availability.

2. Delivery Note (Outbound – Shipment Response)

When System Transport ships an order, TRAEDE receives a Delivery Note.

What happens in TRAEDE:

  • A sales invoice is created for the shipment

  • The invoiced quantities are automatically subtracted from inventory

  • Stock decreases exactly according to what was shipped

This keeps your stock aligned with all outbound movements.

3. Stock Correction File

If System Transport performs a manual stock correction in their system (e.g., recounts, damage adjustments), they send a Stock Correction file to TRAEDE.

What happens in TRAEDE:

  • The same correction is applied automatically

  • You will see a record of the correction under Changes → System Transport correction on the product

This ensures both systems stay aligned even when manual corrections occur at the warehouse.

4. Nightly Full Inventory Synchronization

To ensure complete accuracy, TRAEDE receives a full inventory file every night from System Transport.

Purpose:

  • Acts as a safety net in case a correction or movement is missed during the day

  • Guarantees that the next morning, TRAEDE always has the correct stock levels

This nightly sync ensures long-term consistency between both systems.
