Troubleshooting missing Track Trace

Introduction

Sometimes a shipment from System Transport (SST) is completed in TRAEDE without a track & trace number. This article explains why this happens, how TRAEDE handles these files, and what you can do to improve the situation.

 

 

How System Transport sends shipment data

For every shipment, System Transport sends two separate files:

  1. Delivery note file
    – Confirms that the shipment has been picked and dispatched
    – Used by TRAEDE to complete the shipment

  2. Track & Trace file
    – Contains the tracking number
    – Often generated significantly later

Both files should ideally arrive within a short time window—but in practice, this does not always happen.


Why Track & Trace may be missing in TRAEDE

TRAEDE uses a time-based logic to avoid delaying shipments unnecessarily:

1. Delivery note arrives first

As soon as the delivery note arrives, TRAEDE marks the shipment as completed and (in Shopify) captures the payment.

2. TRAEDE waits 1 hour for Track & Trace

TRAEDE waits up to one hour for the Track & Trace file to arrive.

  • If it arrives within 1 hour → it is imported normally.

  • If it arrives later than 1 hour → TRAEDE ignores it, and no tracking is added.

Why we do this

  • Waiting indefinitely would delay order completion and payment capture.

  • The customer often receives the package before a very-late Track & Trace file even exists.

  • System Transport may generate tracking hours later (sometimes 12–20 hours later), which is too late to meaningfully attach to the shipment.


How to diagnose a missing Track & Trace

If you want to verify what happened:

  1. Go to Document Exchange.

  2. Set Type = Outbound delivery note.

  3. Search for the shipment number (e.g., com1409-2).

  4. Check the timestamps:

Example:

  • Delivery note imported: 4 August, 16:00

  • Track & Trace file generated by SST: 5 August, 10:57

This means:

  • The tracking was generated 19 hours later

  • TRAEDE ignored it because it exceeded the 1-hour waiting window


What you can do

Unfortunately, TRAEDE cannot influence the timing of SST’s files.
If late tracking becomes a recurring issue, the only effective action is:

👉 Contact System Transport and request faster Track & Trace generation.

The gap between the delivery note and tracking file should ideally be less than one hour for TRAEDE to attach it.
