Creating B2B returns for Prime Cargo

Introduction

This article explains how to create and manage B2B returns in TRAEDE. The B2B return flow ensures that your warehouse is informed ahead of time about incoming returns, allowing them to process the goods correctly. You will learn how to create a return (RMA), send it to your warehouse/3PL, and understand how it transitions through the return stages.

 

 

Access the B2B returns module

  1. Go to Sales → Returns.

  2. Under B2B returns, you will see a list of open, received, and credited returns.

 

Why B2B returns must be created in advance

Your warehouse needs an RMA (return document) before receiving goods.
This works similarly to a production order:

  • You create a return with the products you expect to receive.

  • It does not need to match perfectly what the customer will actually return.

  • But the return must exist in TRAEDE before the warehouse receives the items; otherwise the warehouse return cannot be imported.

Create a new B2B return

  1. Click Create new return.

  2. Select the customer who is returning goods.

You will be taken to the return setup page.

 

Add products and expected quantities

  1. Click Set products.

  2. Select the styles the customer will return.

  3. Enter the expected return quantities.

    • Example:

      • 2 × Small

      • 2 × Medium

    • You may add more if needed for internal purposes.

  4. Click Save.

 

Send the RMA to your warehouse

Once quantities are saved:

  • Click Send to [your 3PL].

    • This button may show the name of your warehouse integration (e.g., Prime Cargo, Ongoing, Frode Laursen, etc.).

  • This sends the RMA to the warehouse so they know what to expect.

Important:
If you need to make changes after sending:

  • Contact your warehouse and ask them to delete the RMA in their system.

  • Only then should you resend it.

  • Sending an updated RMA usually will not overwrite the original at the warehouse.

 

What happens after sending the return

Once the warehouse receives the physical goods:

  1. The warehouse processes the return and sends a response back to TRAEDE.

  2. The return automatically moves from Open → Received.

  3. TRAEDE creates an open credit note based on the quantities received.

  4. You can open and book the credit note as usual.

  5. Once booked, the return moves from Received → Credited.

 

Checking open returns

You can always review your B2B returns by going to:

Sales → Returns

Here you can see all:

  • Open returns

  • Received returns

  • Credited returns

 

Important reminder

If your warehouse receives goods without an RMA created in TRAEDE, the return cannot be imported.
Always create and send the return before the warehouse receives the shipment.
