How to map the customer import sheet in Traede

Introduction

Once you’ve prepared your customer data in Excel and saved it as a CSV file, you can use TRAEDE’s customer import tool to create new customers or update existing ones. This guide walks you through how to upload, map, and import your data step by step.

Step 1: Save your file as a CSV

  • Open your Excel sheet.

  • Save it as CSV (comma-separated values).

💡 TRAEDE only supports CSV format for imports.


Step 2: Go to the customer import tool

  1. In TRAEDE, go to Customers > Import customers.

  2. Click Choose file and upload your saved CSV file.


Step 3: Map your columns

Once the file is uploaded, TRAEDE will display your columns and allow you to map each to the correct field.

  • Use the dropdown menus to match each column to its TRAEDE equivalent.

  • Examples:

    • Customer name → Name

    • Customer number → Customer number

    • Billing email → Email

    • Currency → Allowed currencies

    • Discount → Discount (numeric only, no %)

You’ll also map:

  • Invoice and delivery addresses (including title, city, zip code, country)

  • Agent name and email (agent must already exist in TRAEDE)

  • Payment terms: Name, Type (e.g., net, prepaid), and Modifier (e.g., 30 for net 30)

 


Step 4: Choose your import action

Before importing, choose one of the following options:

  • Only create: Use this if your file contains new customers.

  • 🔄 Only update: Use this to update existing customers (customer number must be included).

  • Do not mix create and update in the same file. Separate them into two imports.

Also check:

  • Ignore first row if your file has column headers.


Step 5: Submit the import

  1. Click Submit to start the import.

  2. You’ll receive a confirmation email once the import is complete.

📧 If there are issues (e.g., incorrect formatting, unmapped fields), the email will include error details so you can adjust your file and retry.


Best practices

  • Always review your column mapping before importing—especially if your file format changes.

  • Keep imports for new customers and updates separate.

  • If you're updating only specific fields (like payment terms), you only need to include the customer number and relevant fields.
